There are varying levels of copy editing and proofreading. At each level, different sets of skills, standards and expertise is required. For example, when an author is giving technical information to a non-technical reader/audience, a higher level of copy-editing may be required. We have the necessary skill to handle every level. Editing

Proofreading

As the word suggests, “proofreading” means checking/reading for proofs against the original material. Traditionally, it was a late stage process that involved checking for errors that would have occurred during typesetting. Today, proofreading generally involves checking the text-based information for errors, before publishing.

Basic proofreading

Basic proofreading may also be referred to as shallow proofreading. It involves matching the copy–word by word–against the draft. The defining procedure of a proofreader is to compare and contrast two sets of information at the same time. Through matching, changes to the original document are easily tracked, and mistakes such as typographical errors, inconsistency of style and incessant repetition are corrected.

Editorial proofreading

Unlike the basic proofreading, editorial proofreading may be looked upon as in-depth proofreading. It is the last step in the editorial cycle and is carried out after editing and reformatting the material. At this level, proofreaders check, among other things, errors in word usage (for example, “they’re” instead of “their”), subject-verb agreement, wordiness and hyphenation.

In editorial proofreading, the proofreaders are not permitted to add or subtract text that may alter the number of lines on a page, because by so doing, the graphical appearance may be affected. However, upon request, they may check and correct grammatical mistakes appearing in the final copy. Additionally, they double check the photo captions and make sure that they match the content.

Copy editing

The word “copy” refers to typewritten or written text meant for publication, broadcast, printing, typesetting or any other distribution. Copy editors’ work is to ensure that the writer’s prose follows all the rules of good writing. Unlike in normal editing, the copy editor edits the work without changing the content. In the editorial cycle, copy editing comes before typesetting and proofreading.

Copy editing is essential. A writer may gifted in verbal explanation, but copy editing ensures that the syntax is smooth, the wording is proper and precise and the punctuation is properly used. Unlike proofreaders, copy editors have the freedom to change the text when necessary. They fix whatever is unnecessary, confusing or ambiguous. Additionally, they may recommend changes in sub headings, chapters and titles, thereby affecting the overall appearance of the document.

Levels of editing

There are three levels of editing: light (baseline) editing, medium (standard) editing and heavy (substantive) editing. However, when the available information is likely to be translated, the fourth type of editing is normally involved: globalization editing.

Light (baseline) Copy editing

Light editing is similar to proofreading but involves a more thorough check on grammar. It involves hecking for consistency in numerals, spelling, capitalization and fonts. It also involves a deep check of grammar, spelling and punctuation. Some flimsy mistakes (which sometimes go unnoticed, such as confusing may and can) will never escape a light copy editing. A light copy editing job may also include type marking.

Medium (standard) Copy editing

Medium copy editing performs all the tasks of light copy editing. Additionally, it flags incorrect statements, tracks the continuity of plot, flags inappropriate figures of speech, changes the text and subheadings to achieve parallel structure, and enforces consistency of tone and style. Upon request, medium copy editing may involve the changing of passive tone into an active one. In short, all the organizational problems are handled at this level.

High (substantive) Copy editing

High copy editing performs all the tasks of medium. However, the two differ in the level of rewriting and judgment involved. Instead of flagging the problem the editor at this level may request a recast. The editor ensures that the text is flowing, rather than just correcting the grammar usage. Anything that affects the flow be it inappropriate use of jargon, wordiness, non readability or lack of logical structure is corrected at this stage.

Passive voice is boring and dull to most readers. In substantive editing, passive voice may be changed into active, so as to attract the reader’s attention. Unlike in fictional and other creative arts, technical writing requires high copy editing. By doing this, the reader easily understands the technical terms. In short, high copy editing involves enforcement of tone, focus, flow and uniformity.

Globalization Copy editing

A globalization copy editor is an editor who is well trained in international and cultural issues. He is well versed with the challenges that are faced when translating from one language to another. They work with the author to ensure that meaning and accuracy of information are not lost in the course of translation.
They also advise the client on the aspects of their writing which are likely to be affected by international publishing. For instance, some characters such as # may not be in use in some languages or may have a different meaning altogether.
